EzoSign (“EzoSign,” “we,” “us,” or “our”) provides a Remote Online Notarization (“RON”) platform that enables individuals, notaries, and businesses to notarize documents electronically.

  • Transaction Information: Documents submitted or uploaded for notarization, signer information, notary commission information, transaction details, timestamps, electronic signatures, certificates, and signing-session metadata.

  • Payment Information: Billing and transaction-related information processed through third-party payment processors. EzoSign does not store complete payment card numbers.

  • Communications: Information you provide when contacting us through our website, contact forms, email, telephone, customer support, or other communication channels.

1.2 Information Collected Automatically

When you use the Services, we may automatically collect certain information, including:

  • Notarization Session Recordings: Audio and video recordings of Remote Online Notarization sessions when required by applicable RON laws, regulations, or notarial requirements.

  • Device and Usage Information: Internet Protocol (“IP”) address, browser type, operating system, device identifiers, device information, access times, pages viewed, and other information about how you interact with the Services.

  • Cookies and Similar Technologies: Information collected through cookies, pixels, local storage, and similar technologies used to operate, secure, analyze, and improve the Services. Additional information is provided in Section 7 below.

We may receive information about you from third parties that assist us in providing the Services, including:

  • Identity verification providers.

  • KBA and identity-data providers.

We do not sell your personal information.

  • Notaries and Signing Parties: With notaries, signers, witnesses, businesses, or other parties who are directly involved in a notarization transaction.

  • Service Providers: With third-party vendors and service providers that perform services on our behalf, including identity verification, credential analysis, KBA, cloud hosting, data storage, security, communications, analytics, and payment processing. These providers are permitted to process information only as necessary to provide their services and are subject to applicable contractual and confidentiality obligations.

  • Legal and Regulatory Authorities: When disclosure is required or permitted by applicable law, regulation, subpoena, court order, governmental request, or other legal process.

  • Protection of Rights and Safety: When we reasonably believe disclosure is necessary to investigate fraud, enforce our agreements, protect the security or integrity of the Services, or protect the rights, property, or safety of EzoSign, our users, or others.

  • Business Transfers: In connection with a merger, acquisition, financing, restructuring, sale of assets, bankruptcy, or similar business transaction, subject to appropriate confidentiality protections.

4. Data Retention

Notarization transaction records, electronic journal entries, identity verification records, audit information, and audio/video recordings may be retained for the period required by applicable federal or state laws and regulations. Depending on the jurisdiction, these retention periods may extend for several years after a notarization transaction has been completed.

Account information may be retained for as long as your account remains active and for a reasonable period afterward when necessary for legal, regulatory, security, fraud-prevention, dispute-resolution, accounting, or audit purposes.

Certain information may not be deleted upon request where EzoSign, a commissioned notary, or another applicable party is legally required to retain it.

5. Data Security

We use reasonable administrative, technical, organizational, and physical safeguards designed to protect personal information against unauthorized access, loss, misuse, alteration, disclosure, or destruction.

These safeguards may include:

  • Encryption of information in transit.
